Your tasks
What you do
- Supporting management and project leads with all organizational and commercial matters
- General office management and handling standard assistant and secretarial tasks
- Creating, processing, and managing quotes, contracts, and correspondence
- Preparing invoices and assisting with project billing based on hours worked or HOAI service phases
- Assisting with preliminary accounting and collaborating with our tax advisor
- Coordinating appointments, meetings, and business travel
- Handling telephone and written correspondence with clients, contractors, and business partners
- Maintaining and managing project documentation and digital filing
- Assisting with the creation of analyses, presentations, and reports
- Contributing to the optimization of internal administrative and organizational processes

Your profile
What do you bring
- Completed commercial vocational training, e.g., as an office management clerk, industrial clerk, or a comparable qualification
- Professional experience in an assistant, secretarial, or administrative role is desirable
- Proficiency in MS Office applications
- Ideally, some initial experience in preliminary accounting or project billing
- Excellent written and verbal communication skills in German
- Friendly and professional demeanor with a strong service-oriented mindset
- Strong organizational skills, initiative, and an independent, meticulous way of working
- Team spirit, reliability, and an enthusiasm for varied tasks
